Improve an Email Using AI

Writing emails is a common part of an Executive Assistant’s daily workload. Sometimes an email needs to sound more professional, be easier to understand or simply get the message across more clearly.

AI can help improve the wording, grammar, tone and structure of an email without changing its original meaning.

Below are two prompts: a basic version for beginners and a developed version using Markdown and more structured instructions.

Scenario — Improving a Professional Email

You have drafted an email to a colleague, customer or senior manager. The email contains all the information you want to communicate, but you would like to improve how it is written before sending it.

The objective is to make the email clearer and more professional while preserving the original message, details and intentions.

1. Basic Prompt

Start with a simple instruction. Paste your draft email alongside the prompt.

Improve the email below so it sounds clear, polite and professional.

Correct any spelling or grammar mistakes.

Keep the original meaning and do not add any information.

[PASTE YOUR EMAIL HERE]

What does this do?

This asks AI to improve the email without providing detailed instructions about writing style, structure or formatting. It is a quick and simple way to improve everyday correspondence.

2. Developed Prompt — Using Markdown

This version uses Markdown headings, bullet points and clearly defined rules to give AI more control over how the email is improved.

Copy the prompt below and replace the placeholder with your draft email.

# ROLE

Act as a professional Executive Assistant experienced in business correspondence.

# OBJECTIVE

Improve the email provided below so it is clear, professional and easy to understand.

Preserve the original meaning, facts and intentions.

2. All important information has been retained.
3. No facts or commitments have been invented.
4. The email is grammatically correct.
5. The tone is professional and natural.

3. Example AI Output

Below is an example of how AI might improve an email using the developed prompt. The email is fictional and provided for demonstration purposes.

Original Email

Hi Alex,

I have attached the agenda for the meeting on Thursday. Can you check it and send me any comments by Tuesday. Also if there is anything else you want adding let me know so I can update it.

Thanks,
Sam

1. Improved Email

Hi Alex,

I’ve attached the agenda for Thursday’s meeting. Could you please review it and send me any comments by Tuesday?

If there are any additional items you would like to include, please let me know so I can update the agenda.

Thanks,
Sam

2. Changes Made

AreaImprovement
GrammarCorrected punctuation and sentence structure.
ClarityMade the request to review the agenda easier to understand.
ToneChanged the wording to sound more polite and professional.
ReadabilitySeparated the requests into shorter paragraphs.
AccuracyPreserved the original meeting day, deadline and requests.

4. What Have We Learned?

Both prompts aim to improve the quality of an email, but the developed prompt provides clearer instructions about what AI should change and, importantly, what it should leave unchanged.

Basic PromptDeveloped Prompt
Asks AI to improve the email.Defines the role, objective and specific writing tasks.
Requests a clear and professional tone.Explains how to improve grammar, structure, readability and tone.
Provides a general instruction not to add information.Includes rules to preserve facts, dates, commitments and original meaning.
Does not specify an output structure.Requests a ready-to-send email and a brief explanation of the changes.
Leaves AI to determine how to review its answer.Includes a final validation checklist.

Why Use Markdown?

Markdown helps organise the developed prompt into clear sections. In this example, we used:

  • # — To create main headings such as ROLE, OBJECTIVE and TASKS.
  • ## — To separate individual tasks and instructions.
  • ### — To identify the original email within the source information.
  • - — To create lists of writing instructions.
  • **text** — To highlight important rules and requirements.

This structure makes it easier to distinguish between the original email, the instructions AI should follow and the expected result.

The benefit is not simply having a longer prompt. It is providing clearer instructions to produce more consistent results.

5. Important Considerations

AI can improve how an email is written, but it does not necessarily know the relationship between you and the recipient. An email to a close colleague may require a different tone from an email to a customer or senior executive.

Always review the improved email before sending it, particularly where it contains deadlines, financial figures, commitments or sensitive information. Follow your organisation’s data protection and AI usage policies when working with confidential correspondence.

Remember: The objective is to improve how your message is communicated, not to change what you are communicating.

6. Taking This Further

Once you are comfortable using this prompt, you can adapt it to different situations by adding specific instructions about tone and writing style.

For example, you could add one of the following instructions to your prompt:

  • More concise: “Make the email shorter without removing important information.”
  • More diplomatic: “Use a polite and diplomatic tone while keeping the message clear.”
  • More formal: “Use a formal business writing style suitable for senior management.”
  • More approachable: “Use a friendly and natural tone while remaining professional.”
  • Match my writing style: “Use the attached examples of my previous emails to understand and reflect my preferred writing style. Treat them as writing examples, not factual sources.”

These additional instructions allow you to tailor the prompt without rewriting the entire thing.

For more consistent results, you can also provide AI with examples of your preferred writing style and a list of words or phrases to use or avoid.
